Photographs are purchased separately. The session fee is due at the time of booking. The session fee is non-refundable in the event of cancellation by the Client, however, we accept a one-time reschedule a maximum of 7 days before your session date. Any additional reschedules or reschedules with less than 1-day notice will require an additional charge of £100 or a chosen image collection to be pre-paid. Payment for any product orders shall be submitted to the Photographer at the time of the reveal/ordering session.
Custom Business Session Fee with Renata Clarke Portraits (On-Location, 5+ People)
For corporate and branding sessions involving teams of five or more, I offer custom flat session fees tailored to the scope and structure of the day. These on-location sessions typically cover either a half-day (approximately 3 hours of photography coverage) or a full-day (up to 6 hours), excluding additional time required for early arrival, equipment setup, or makeup preparation.
Each bespoke package may include a set number of final images, professional lighting setup, custom backdrop styling (where appropriate), and the option to bring a trusted makeup artist to support the team. This approach ensures a cohesive, premium result that aligns with your brand’s unique tone and vision. 2. On-Location Sessions: Setup, Time & Access
For on-location sessions, I arrive up to 30 minutes before the first scheduled portrait to set up lighting, backdrops, and create a cohesive visual environment. Please ensure the space is accessible, tidy, and representative of your brand. I may bring additional tools like painted backdrops or V-flats, depending on the brand’s aesthetics.
3. Business Team & Group Sessions
For team or group sessions (e.g., company rebrand or leadership portraits), I work efficiently and intuitively, ensuring each individual feels confident and seen. Please allow approximately 10–20 minutes per person, depending on the package and setup. Group dynamics are considered, and I often adjust lighting and backdrop positioning throughout the session.
Please designate one primary point of contact for approvals and creative feedback. This ensures clarity, flow, and alignment with the brand’s vision.
While I strive for visual cohesion across sessions, results may vary slightly due to location, lighting, and brand colour palettes. I tailor every session to align with your vision and your brand’s energetic frequency.
4. Personal Cameras
Personal cameras are not allowed in the studio during your session. Please refrain from taking phone images or video recording. We work very hard to ensure your session is captured artistically and creatively. We ask that you respect our livelihood and refrain from taking photographs of what we are creating.
5. Viewing and Ordering Appointment
You will view your portraits at a personally attended reveal session which can take place in the studio or via video conferencing software. You will be asked to order at this time. Please ensure all decision-makers are present. Clients who cannot make a decision about products or images during their viewing appointment or wish to order more images at a later date, may schedule an additional ordering appointment for a £50 fee. Once your order is placed in person, your ordered digital images will be retouched (between 1 to 7 days) and uploaded to an online storage where you can download your files as well as print products from them. Due to the downloadable nature of this content, once files are removed from the studio the sale is final and non-refundable. We do NOT offer online galleries for ordering. Digital files cannot be released outside the studio until FULL payment is made.
For branding and corporate sessions, the image viewing and selection process is flexible and will be tailored to your company’s preferences.
Depending on the internal setup:
- A designated brand representative or marketing lead may be responsible for reviewing the proofs and selecting final images aligned with the company’s brand strategy and visual consistency.
- Alternatively, if preferred, each team member photographed may be invited to select their favourite image immediately after their session — ideal when capturing authentic expressions and empowering confidence in the final choices.
This flexibility allows us to honour both the individual’s comfort and the company’s cohesive brand goals. Please discuss your preferred approach during the planning phase so we can structure the flow of the session accordingly.
6. Payments
Due to the custom nature of the work, payment for any wall art or additional folio boxes must be placed in full and is subject to a 50% cancellation fee should you change your mind about an order after it is placed. Once an order is sent to the lab or digital files are submitted to the client either by electronic transfer, the order is deemed non-refundable. Payments may be made via cash, Visa, MasterCard, PayPal, Apple Pay, Android Pay, and PayPal Credit. Flexible in-house payment plans are also available.
For corporate or agency-led bookings, an invoice can be raised and paid via BACS. Payment is required in advance unless otherwise agreed in writing.
7. In-House Payment Plans
In-house payment plans can be arranged upon request. A 25% down payment of your total order will be required on the day of your reveal and ordering appointment. The remainder can be spread over a maximum of 12 months in flexible weekly or monthly installments.
The payment plan will be arranged via Square invoice, and the Client’s debit or credit card details will be required on file (a card authorisation form will need to be filled in and signed by the client). The card will be charged according to the agreed payment schedule.
8. Product Delivery
Digital files will require between 1 to 7 days for retouching and delivery (depending on the number of images ordered). For larger corporate sessions, please allow up to 14 days for image delivery. This ensures every portrait is carefully selected, professionally retouched, and delivered to your team in high-resolution, ready for all your business needs.
Folio boxes with standard 6×8 matted prints will be ready for shipping or collection 24/48 hours once the digital images have been approved by the client. Any additional 6×8 prints and boxes will require up to 14 days for production and shipping. Please allow 3 – 4 weeks for any wall art orders to be completed. Your portraits are an investment and an heirloom that should not be rushed.
All ordered images are kept on file for 1 year. Un-ordered images are deleted after 30 days.
Business clients intending to use images in commercial campaigns (paid ads, billboards, editorial placements, etc.) may require a separate image usage agreement. Please discuss your needs in advance to ensure appropriate licensing terms are in place.
9. Use of Independent Contractors
In the event a Photographer furnishes a hair and/or makeup artist, the Photographer is not liable for any application or services by this Independent Contractor. This includes but is not limited to, allergies as a result of use of the products by the Independent Contractor. It is the Client’s responsibility to convey all allergies to the Independent Contractor.
10. Health & Safety
The Client is responsible for informing the Photographer of any health or safety concerns that may impact the session. This includes but is not limited to medical conditions, allergies, and physical limitations. The Photographer will take all reasonable precautions to ensure a safe and comfortable environment.
11. 100% Guarantee
Renata prides herself in delivering beautiful portraits of everyday women, but if for whatever reason you do not like any of the images, you are entitled to a free re-shoot within 30 days from your reveal & ordering appointment. This is our 100% satisfaction guarantee.
12. Artistic Rights
While Renata does capture many images during your session, any images with eyes closed, heads turned, duplicates, blurred, etc., will not be shown and are removed from our archives permanently after the session. Unpurchased images will be deleted within 30 days from the session. Unretouched images or raw files are not for sale as they are considered unfinished products. Requests for additional image retouching will be honored at a £50 per hour retouching fee and at the discretion of the artist. Retouching will be performed to the artist’s desired outcome and is considered the final version. The artist will not perform any retouching she does not see as fit for the image.
13. Creative Control
The Photographer retains creative control of the session. This control includes, but is not limited to, the adjustment of hair, makeup, jewelry, clothing, and clothing straps. My branding sessions are rooted in intentional storytelling, guided by your brand tone, values, and emotional resonance. While I provide light posing direction, I encourage authentic presence and expression that aligns with your brand’s essence. A short creative brief or inspiration moodboard can be shared ahead of time.
The Copyright Designs and Patents Act 1988 assigns the copyright of the images to the photographer. Any images or copies of images whether stored digitally or otherwise and any computer program including any source or object code, computer files, or printed documentation relating to such images are protected by the Copyright and Design Act 1988. It is contrary to the Act to copy or allow to be copied photographically/electronically or by any other means an image created as part of this contract without the permission of the Photographer/s in writing.
14. Confidentiality
All personal information provided by the Client will be kept confidential and will not be shared with any third parties except as necessary to complete the session and fulfill the contract.
15. Photo Release
A separate model release form will be issued upon image delivery where the Client will specify if, how, and which images can be used by the Photographer and/or contractor (makeup artist).
16. Insurance and Liability
The Photographer(s) will maintain Public Liability and Professional Indemnity insurance at all times. However, in the unlikely event of a total photographic failure or cancellation of this Contract by either party or in any other circumstance, the liability of one party to the other shall be limited to the total value of the Contract. Neither party shall be liable for any indirect or consequential loss.
17. Complaints
All complaints should be raised by the Client directly to the Photographer in writing within 14 days of the occurrence which gives rise to the complaint. The Photographer will consider the complaint and shall provide a response to the Client within 14 days of receipt of the Complaint. In the unlikely event of an unresolved complaint, the Client may request the Guild of Photographers to mediate but only on the basis that its decision shall be final and binding upon both parties.
18. Governing Law and Jurisdiction
The parties irrevocably agree any dispute arising out of this contract shall be governed and construed in accordance with English Law and that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim.
